Exhibitor Guidelines
Fees
In order to hold a preferred space, a deposit of $500 is due within 15 days of registration. The balance of all fees is due no later than September 1, 2010 but you may pay in full at any time. After that date, all reserved space NOT paid in full can be released for rent to another exhibitor at the discretion of Conference Management. There will be no exceptions to this deadline and exhibitors are responsible for making their payments. Space registrations submitted after September 1, 2010 must be accompanied by payment in full, unless otherwise agreed upon by Conference Management.

A contract signed by both the Exhibitor Representative and the Conference Director must be on file with Conference Management or space is not considered reserved, regardless of payment status.

Exhibit Limits
Exhibits may not project beyond the space allotted and aisles must be kept clear for traffic. Exhibits shall not obstruct the view or interfere with traffic to other exhibits. Sound devices for the reproduction of sound or music shall be restricted, and any method to project sound beyond the confines of the exhibit is prohibited, unless pre-approved in writing.

Right of Refusal and Cancellation
The FSU Academic & Professional Program Services reserves the right to cancel this agreement whenever it discovers that the exhibitor's product to be displayed is not as described in the contract or is incompatible, in the opinion of Conference Management, with the principles of FGTC.

Default by Exhibitor
An exhibitor shall be in default if it fails to pay the required sums at the pre-identified dates stipulated in the contract or breaches any of the other provisions of the contract.

Cancellations and Refunds
All cancellations must be made in writing regardless of whether or not verbal contact has been made with Conference Management. If received prior to September 1, 2010, a refund of the total amount paid at the time of cancellation will be made. No refunds will be made after September 1, 2010. Exhibitors and sponsors who do not cancel their obligations in writing by September 1, 2010 will be responsible for all fees assessed regardless of whether or not the booth or sponsorship is re-sold to another party. If space or commitment is canceled at the discretion of the Conference Management, the Conference Director will determine the amount of refund at the time of cancellation.

By registering online for FGTC 2010 you are agreeing to all of the rules and regulation stipulated here and in the Contract for Exhibit Space.

Be a part of the 2010 Florida Government Technology Conference. Showcase your products and services to knowledgeable Florida government, education and industry professionals empowered to improve, develop and implement technology in meeting the IT security demands of their organizations.

Vendor-sponsored sessions will be held the first day in Rooms 201, 205 and 214 of the Augustus B. Turnbull III Florida State Conference Center. The Cyber Security educational track will be held the second day in the Auditorium of the conference center. Exhibit areas will be set up in the Auditorium, Atrium and Gallery areas.

We anticipate 400 attendees on site, as well as an audience attending via webcast.

Deadline for Registration for Exhibitor Space must be made by Friday,
October 1.

Exhibitor Information
Exhibitors must set up the morning of the first day of the event Tuesday, October 19, from 7:00 - 8:30 a.m. Exhibitors may begin tear-down after 5:00 pm on the second day of the conference and must be completed by 8:00 pm.

Internet access and limited electricity will be provided. Please contact us if you require these services.

Your exhibit area should conform to a "tabletop display" format, not the traditional tradeshow format. Exhibit areas are not decorated with a drape and pipe backdrop. Banner stands are welcome, as long as they do not protrude outside the exhibit space.

There are five levels of sponsorship:

Platinum Plus Package - $9,500

  • One Tuesday Morning Speaking Session in Room 214*
  • One break setup in meeting room
  • One 3-minute web ad to run throughout conference
Platinum Package - $4,500
What comes with the Platinum Plus Package?
  • One 7' x 8' space in reserved location of your choice (Auditorium, Atrium, Gallery)
  • One Tuesday Morning Speaking Session in Room 201 or 205*
  • One 3-minute web ad to run throughout conference
* - Speaking Session topic must relevant to either the topics of Innovation or Cyber Security. Topic and abstract must be approved in advance before conference management will schedule the session.

Gold Package - $2,500
What comes with the Gold Package?
  • One 7' x 8' space in location of your choice (Auditorium, Atrium, Gallery)

Lunch will be served for all vendors.

Exhibitor Schedule
FGTC Exhibit Space Set-Up:
Tuesday, October 19, 7:00am-8:30am

FGTC Exhibit Space Open:
Tuesday, October 19, 8:30am - 5:00pm
Wednesday, October 20, 8:30am - 5:00 pm

You must check in at Exhibitor Registration in the conference center's lobby upon arrival. Do not set-up before registering.

Exhibitors who have not paid all fees by move-in will be required to reconcile their accounts prior to receiving clearance to setup. Be certain to have payments for any unpaid portion of your fees when you arrive at the summit.

All Exhibitors must be at their displays by 8:30 am on the first day of the conference. At the end of the conference, exhibitors must remain at their displays until all participants have left the conference center.
Exhibit Space Information
The following information applies to all vendors.

Exhibit Booth Space is limited and available on a first-come, first-served basis. You must receive confirmation of booth availability and location by a Conference Coordinator after registration.

Entrance to the Exhibit Hall
During setup and tear down, exhibitors will have access to the exhibit areas. Please note: During setup and tear down, exhibitors need to pick-up name badges and/or secure a work-pass sticker from security at the loading dock. Anyone employed or contracted by your organization who is involved in setting up or maintaining any part of your booth must have a work pass, unless they are with one of the official FGTC service providers.

Security
Security is a priority for FGTC Show Management. Show management, their officers, agents and employees are not responsible for lost or damaged property. Security guards will be on duty from setup through teardown but they cannot guarantee the safety of any item and are not responsible for any loss. We suggest that you secure your property during off-show hours. Please report any loss immediately to show management so we may alert security and contact the proper authorities.

Parking Information
Parking is reserved in the adjacent parking garage behind the conference center. FGTC Management is not responsible for the towing of illegally parked vehicles.

Food Service
Lunch will be served. Exhibitors arrange for their own meals at all other times.

Name Badges
All exhibitor badges will be distributed at Exhibitor Registration located in the lobby of the conference center. Exhibitors must wear an FGTC name badge in order to remain in the exhibit areas. Security will ask individuals who are not wearing a name badge to exit the exhibit areas.

Name badges are non-transferable. We ask that all exhibitors limit the number of employees they have manning their booth at any one time to no more than 3. (You may rotate individuals in and out of your space as needed, but all personnel must be registered onsite). You may e-mail the names of your staff prior to the show to lgates@campus.fsu.edu.

Space Assignment
A Conference Coordinator must always confirm availability. Exhibitors must meet all deposit and payment deadlines and must return a signed Contract for Exhibit Space to Conference Management to retain a space location. Priority is for initial placement only. The Conference Coordinator reserves the right to alter any location of exhibits as shown on the official floor plan, if deemed advisable and in the best interest of the conference.

The assignment or subletting of any part or all of the exhibit space is not permissible without notification to and approval by the Conference Coordinator.
