Exhibitor Guidelines
Fees
In order to hold a preferred both location, a deposit of $500 per booth is due within 30 days of invoicing. The balance of all fees is due no later than July 25, 2008 but you may pay in full at any time. After that date, all reserved booth space NOT paid in full can be released for rent to another exhibitor at the discretion of Conference Management. There will be no exceptions to this deadline and exhibitors are responsible for making their payments regardless of invoicing. Booth registrations submitted after August 1, 2008 must be accompanied by payment in full, unless otherwise agreed upon by Conference Management.

A contract signed by both the Exhibitor Representative and the Conference Director must be on file with Conference Management or booths are not considered reserved, regardless of payment status.

Exhibit Limits
Exhibits may not project beyond the space allotted and aisles must be kept clear for traffic. Exhibits shall not obstruct the view or interfere with traffic to other exhibits. Sound devices for the reproduction of sound or music shall be restricted, and any method to project sound beyond the confines of the exhibit is prohibited, unless pre-approved in writing.

Right of Refusal and Cancellation
The FSU Academic & Professional Program Services reserves the right to cancel this agreement whenever it discovers that the exhibitor's product to be displayed is not as described in the contract or is incompatible, in the opinion of Conference Management, with the principles of the Florida Government Technology Conference.

Default by Exhibitor
An exhibitor shall be in default if it fails to pay the required sums at the pre-identified dates stipulated in the contract or breaches any of the other provisions of the contract.

Cancellations and Refunds
All cancellations must be made in writing regardless of whether or not verbal contact has been made with Conference Management. If received prior to August 1, 2008, a refund of the total amount paid at the time of cancellation will be made. No refunds will be made after August 1, 2008. Exhibitors and sponsors who do not cancel their obligations in writing by August 1, 2008 will be responsible for all fees accessed regardless of whether or not the booth or sponsorship is re-sold to another party. If space or commitment is canceled at the discretion of the Conference Management, the Conference Director will determine the amount of refund at the time of cancellation.

By registering online for FGTC 2008 you are agreeing to all of the rules and regulation stipulated here and in the Contract for Exhibit Space.
Vendor/Sponsor Rules
Official Decorator for Exhibits
There will be an Official Decorator, Drayage Contractor and Labor Contractor for this event that hold the exclusive rights to supply all equipment, furniture, carpeting and decorating materials, drayage and non-technical man-power, on a rental basis to individual exhibitors. Electrical power and Internet connectivity will also be available and supplied by a pre-selected provider and charged to individual exhibitors based on their requests.


Booth Priority
Booth availability must always be confirmed by a Conference Coordinator.

Booth priority was extended to exhibitors who turned in their Letter of Intent to Exhibit for this year's show, at last year's show.

First priority is extended to those exhibitors who request, as their first choice, both the identical booth location and the same or fewer numbers of booths from one year to the next.

Second priority is extended to those who request, as their first choice, a different location or an increased quantity of booths from one year to the next. Second priority exhibitors are handled in the order that they register and make their request.

Once first and second priority exhibitors are placed, all other placements are handled on a first-come first-served basis. Location assignments are made based on the availability of the locations requested at the time of registration.

Exhibitors must meet all deposit and payment deadlines and must return a signed Contract for Exhibit Space to Conference Management to retain a booth location. Priority is for initial placement only.


Booth Assignment
The Conference Coordinator reserves the right to alter any location of exhibits as shown on the official floor plan, if deemed advisable and in the best interest of the show.

The assignment or subletting of any part or all of the exhibit space is not permissible without notification to and approval by the Conference Coordinator.
